Grandi Ensemble is a nonprofit organization dedicated to empowering communities through health, education, and cultural engagement. We manage the Get Fit Eat Well initiative to help students, seniors, and families build healthier lifestyles with plant-based cooking, fitness, and technology that makes wellness accessible to everyone.

How Team Members Help the Mission

When You Need Assistance
- Immediate Help: Contact your direct program coordinator via phone (646) 355-6351, text, or email info@grandiensemble.org .
- Event Support: If you run into setup issues (supplies missing, tech problems, difficult questions), notify the coordinator before or during the event.
- App/Tech Issues: Submit the issue in writing (screenshot if possible) to the support team so it can be fixed quickly.
- Never hesitate to ask questions—seeking help ensures the mission is delivered correctly.
Daily Reporting
Each ambassador must submit a Daily Report after events or outreach efforts:
- Number of new signups or prospects spoken to.
- Event details (location, type of audience, feedback).
- Engagement (onboarding, assessments started, group comments posted).
- Any challenges faced or assistance needed.
- Suggestions for improvement.
Responsibilities
- Represent Grandi Ensemble and Get Fit Eat Well with professionalism.
- Identify and submit opportunities for tabling events.
- Onboard new participants quickly and effectively into the program/app.
- Maintain engagement by ensuring participants remain active in coaching, groups, and challenges

Procedure
Event Setup (Tabling/Outreach)
- Submit Opportunities:
- Identify potential tabling opportunities (college campus, senior center, church, community fair).
- Submit details (event date, location, expected audience) to Grandi Ensemble staff for approval.
- Event Materials Checklist:
- Tablecloth laid flat and visible.
- Flyers and brochures neatly displayed.
- Banner positioned behind or above the table.
- Ambassador wearing branded T-shirt or apron.
Onboarding New Participants
- Enrollment:
- For iPhone users: Enroll directly using Apple Connect.
- For Android users: Share your referral link and guide them through sign-up.
- Immediate Actions After Signup
- Connect participant with their coach inside the app.
- Have them join the assigned Get Fit Eat Well group.
- Instruct them to log their first night’s sleep.
- Encourage them to leave a comment in the group introducing themselves.
- Collect their availability (for coaching & classes).
- Baseline Setup:
- Guide participant through initial assessments.
- Take a “before” photo (with their consent).
- Have them join the challenge video.
Engagement & Follow-Up
- Ongoing Engagement:
- Remind participants to complete their assessments on time.
- Encourage scheduling a 1-on-1 coaching session.
- Invite them to join at least one cooking class.
- Check-ins:
- Weekly: Follow up via app or in person to confirm activity.
- Encourage group participation by commenting and engaging in discussions.
- Progress Tracking:
- Ensure participants upload progress photos as needed.
- Confirm consistent sleep logging, food tracking, and group interaction.
Reporting
- Submit a weekly ambassador report to the Grandi Ensemble coordinator including:
- Number of new signups onboarded.
- Events attended and tabling opportunities pursued.
- Participant engagement updates (coaching sessions booked, class attendance, group activity).
- Challenges or feedback from participants.
Best Practices
- Be approachable, energetic, and professional at all events.
- Demonstrate app features in real time when onboarding.
- Share your own story/experience with Get Fit Eat Well to build trust.
- Always follow up within 48 hours of onboarding a new participant.
Compliance & Guidelines
- Respect privacy and obtain consent before taking photos.
- Do not share referral links outside approved channels.
- Maintain professionalism when representing the organization.
End Goal: Every participant should understand the app, connect with a coach, engage in group/community, and begin building healthier habits through assessments, cooking classes, and challenges.
Tabling Shifts & Attendance Policy
Requesting Shifts
- Student Ambassadors must request tabling shifts in advance through the approved scheduling system or coordinator.
- Once a shift is confirmed, the ambassador is expected to attend on time and fully prepared with required materials.
Coverage if You Cannot Make a Shift
- If you are unable to attend your assigned shift, you must:
- Notify the program coordinator at least 24 hours in advance, and
- Attempt to secure another ambassador to cover your shift (with coordinator approval).
- Emergencies should be reported immediately via phone call or text.
No Call / No Show Policy
- No Call / No Show (failing to notify the coordinator and missing your shift) is not tolerated.
- One occurrence is grounds for immediate termination from the ambassador role.

Tabling events are key opportunities to introduce new students, seniors, and families to Get Fit Eat Well. When ambassadors don’t show up, the organization loses valuable outreach time and credibility with our partners. Reliability and accountability are essential to fulfilling Grandi Ensemble’s mission.
Communication & Professional Boundaries
During Tabling Shifts
- All communication with participants must remain inside the official Get Fit Eat Well app
- Use the app’s chat, group, or referral features to connect participants with coaches and resources.
- Share referral links or QR codes provided by the organization — do not create personal links or shortcuts.
Company Line Only
- When participants request follow-up, provide them with the official Grandi Ensemble contact information (company line or email).
- Never give out your personal phone number, email, or social media for program purposes.
- All questions, issues, or follow-ups must be routed through the organization’s approved communication channels.
Why This Matters
- Protects ambassador privacy.
- Keeps records of communication organized and professional.
- Ensures consistency and accountability in how Grandi Ensemble interacts with the community.
Prohibited Actions
- Using personal email, phone, or social media accounts to enroll, onboard, or follow up with participants.
- Discussing program details outside of official platforms.
- Circumventing the app or referral system.
Violation of this policy may result in disciplinary action, up to termination.
Photo & Video Guidelines
Before Taking Photos/Videos
- Always ask for consent before taking photos or videos of students, seniors, or community members.
- Use the photo/video release form provided by Grandi Ensemble (digital or paper). No content should be posted or shared without signed consent.
- Respect privacy—never photograph someone who declines or looks uncomfortable.
During Tabling
- Capture wide shots of the table setup (banners, flyers, interaction).
- Take action shots of you or your team talking with participants (with consent).
- Highlight any group engagement moments (sign-ups, people scanning QR codes, trying snacks).
During Classes/Events
- Record short clips (10–20 seconds) of cooking demonstrations, interactive activities, or group discussions.
- Show participants engaging with the app or cooking materials (with consent).
- Take candid but respectful shots of people enjoying the experience.
Collecting Student Handles for Social Media
- Ask politely: “Would you like us to tag you in our event recap post?”
- Record handles on the event sign-in sheet or a designated “Social Media Sign-Up” sheet.
- Have a column for Instagram/TikTok handles.
- Verify spelling of usernames to ensure proper tagging.
- If a student doesn’t want to be tagged, note that on the sheet.
Posting & Tagging
- Submit photos and videos to the communications coordinator or upload to the shared drive before posting.
- Approved posts may then be published on Grandi Ensemble / Get Fit Eat Well accounts.
- Tag students using the handles collected, but only if consent was given.
- Always tag the organization’s official accounts so content is consistent across platforms.
(Ensemble Approach)
Core Principle
No managers, no top-down supervision. Each role is part of a collective system where accountability comes from:
- Peer visibility – reports are shared with the Grandi Ensemble group.
- Virtual Assistant support – reminders, nudges, and summaries.
- Shared goals – success is measured by collective utilization (attendance, sign-ups, training completions).
Daily Reporting by Role
Client
- Confirms attendance (class, appointment, or challenge).
- Leaves quick review/feedback for coach or host.
- Logs progress (1-line check-in: e.g., “Attended session,” “Completed food battle,” “Missed but rescheduled”).
Peers see reviews in real time — nudging coaches/hosts to respond.
User (General Community Member)
- Responds to 1 invitation per day (join class, comment in group, RSVP to event).
- Shares reflection or action (e.g., “Signed up for barista training,” “Joined health coach challenge”).
Peers can tag them in comments to encourage more engagement.
Host
- Claims available tabling events or food battles in the shared app.
- Reports leads collected (email/phone sign-ups).
- Posts event recap (photos, short video, or quick win: “5 new app registrations today”).
- Notes income earned for transparency.
Virtual Assistant reminds hosts of unclaimed events & nudges them to post recaps.
Coach
- Confirms daily client sessions (no appointment left unchecked).
- Posts progress updates (without sensitive details, just: “3 clients attended today, 2 rescheduled”).
- Shares new reviews/testimonials received.
- Updates credential/insurance status (peer-checked).
Clients’ reviews show up in the shared feed, nudging coaches to follow up.
Practitioner
- Confirms all professional appointments (secure attendance).
- Logs service notes (summarized for peers, detailed in private system).
- Shares 1 tip, resource, or insight weekly to inspire others.
Ensemble Mechanics
- Virtual Assistant Role:
- Send daily reminders to submit reports.
- Posts collective summary at end of day (“10 clients served, 22 sign-ups, 3 new reviews, 1 tabling event hosted”).
- Nudges individuals if a report is missing (“Coach X has 1 unconfirmed appointment — please check”).
- Shared Visibility:
- All reports appear in a common feed
- Anyone can nudge a peer if a task is missing.
- Peer Accountability:
- Example: If a host forgets to post recap → another host comments “Hey, don’t forget to drop your numbers so we can hit our funding goal!”
